The Executive Assistant will work directly with the President and members of the Leadership Team to provide high-level administrative and organizational support. This role is responsible for managing executive schedules, coordinating meetings and company calls, supporting leadership operating rhythms, and assisting with company communications and logistics.
The Executive Assistant plays a key role in ensuring efficient execution of leadership priorities by coordinating meetings, preparing materials, managing follow-up actions, and supporting company-wide events and initiatives. The ideal candidate is highly organized, professional, and capable of exercising independent judgment while managing multiple priorities in a fast-paced environment.
Roles & Responsibilities
Executive & Leadership Support
- Provide administrative and organizational support to the President, including calendar management, travel coordination, and prioritization of weekly activities
- Coordinate executive schedules and support Leadership Team operating rhythms
- Prepare, edit, and proofread executive presentations, reports, and other materials as requested
- Create and maintain weekly leadership meeting agendas, track action items, and coordinate follow-up activities
- Professionally manage confidential and time-sensitive information
Company Meetings & Operating Cadence
- Schedule and coordinate company-wide and leadership meetings, including:
- All Hands Calls
- Forecast calls
- Leadership Team meetings
- Coaching Staff meetings
- Business Review meetings
- Prepare and distribute meeting agendas, presentations, invitations, notes, and action items
- Maintain the VasoHealthcare master calendar and support the ongoing cadence of company calls and meetings
Company Events & Site Visit Program
- Manage the VasoHealthcare Site Visit Program, including travel coordination, approval tracking, and preparation of quarterly reporting for leadership
- Coordinate logistics for company-sponsored meetings and events, including:
- National Sales Meeting
- Regional Meetings
- Leadership Meetings
- Training courses and industry conferences
- Arrange meeting venues and manage related logistics, including A/V requirements, food and beverage coordination, printed materials, and on-site support
- Manage trade show participation, including field requests, approval process, and preparation of quarterly reports for leadership
Company Communications & Visibility
- Create and distribute company communications, including emails, reminders, surveys, and event-related messaging, as directed by leadership
- Support internal-facing communications related to company initiatives, meetings, recognition, and leadership updates
Operations, Assets & Administration
- Track and reconcile corporate credit card expenses and provide monthly reporting to Finance
- Serve as the primary Perk travel liaison and resource for employees

This position has no supervisory responsibilities.
